Map all your Emails to a single Gmail account

GMail If you are a webmaster or for that matter you own so many of your email accounts by free email service providers like yahoo, Hotmail etc and find it very painful to check and reply your emails after regular intervals then just calm down. Gmail is not just an email service, it’s an aggregator. Follow this simple three step process to map your email account which is let say <yourname>@yourdomain.com or <yourname>@freee-mail-service.com to a single Gmail account of yours.

1. Create a filter to forward your mail to your GMail.

It totally depends on you if your mail service provides you an option for keeping your email on your server or to permanently move it to your forwarded address. For webmasters having their personal domain it’s quite trivial to create a filter to forward your message to your gmail account. Though most of the other free web mails also have forwarding feature but some may not have. (Though you also have an option to setup a POP account within GMail but I wouldn’t recommend that.)

 

2. Associate Labels with the forwarded emails of step 1

Now since you’ll be receiving lot of emails from so many different email account of yours,  you need to differentiate between them. GMail gives you an option to put a label on your filters. In GMail you can create filters using Filter options under Settings.

So let say if you receive an email from your personal domain account yourname @yourdomain.com you can create a filter matching the to: field and applying the label to that filter as personal-yourdomain. Similarly if you receive it from let say info@yourdomain.com you can apply the label as info-yourdomain.

3. Add an account of your mail in GMail

Now the most important part. When you receive an email to yourname @yourdomain.com as mentioned above, of course you won’t like to reply back with your gmail account <yourname>@gmail.com . For this you need to add your email account to gmail so that you if you receive a mail to yourname@yourdomain.com you can reply back with the same email. Gmail will send you an email on yourname@yourdomain just to verify your mail account and you are done. Just make sure that you select the option “Reply from the same address the message was sent to”. You are done!

Now you’ll receive all your personal as well as other mails on single gmail account of yours with labels and you can also reply back to the sender with same email address that email was sent to.

You can also change the color of the labels and can see all your mails label wise by clicking on the corresponding label on the left pane in GMail.
